Where:BuildSlots & schedulingNew group

A slot group has a name, a purpose (Round 2 · AI interviews or Round 3 · final round), a timezone, and three rules:

  • Minimum notice: how far ahead a slot must be to be offered (24 hours by default).
  • Reschedule until: how long before the slot a candidate can still move it (12 hours).
  • Late-join grace: how late a candidate can still join (30 minutes).

Generate slots over a date range (up to 120 days), on chosen weekdays, between a first start and a last end time, with a slot length, a gap and seats per slot, skipping holidays. The review step shows exactly how many slots will be created: times the group already has, and times in the past, are skipped, so generating twice never doubles the calendar. One slot adds a single time. Link the group on each role's Slots tab.

The calendar has Week, Month and List views, for all groups or one. Click a slot to see who is booked, change its seats, close or reopen it, or delete it (only when nobody is booked). Times show in the selected group's timezone; with all groups they show in your organization's timezone, and the slot panel also gives the group's own time. Candidates always see the group's time, with the timezone named, on the booking page and in emails.

How booking works

The calling agent offers slots on the screening call. When the candidate passes round 1, their chosen slot is booked and the invitation with the link and a 4-digit passcode is sent, with reminders 24 hours and 1 hour before. Candidates can change their time online up to the cutoff.

If no slot fits, the application is flagged needs a slot and the candidate is asked to pick one. Candidates who were unreachable or declined the call get a browser link instead, open for 7 days.

To book one candidate by hand, open their application and choose Actions → Schedule AI interview… (Change AI interview time… once booked). Pick one of the open times or add a new time. The candidate moves to the AI interview step if they are not there yet, and gets the link and passcode by email with the usual reminders; a changed time keeps the same link and passcode.

The interview room

The link opens at the start of the slot and stays open until the grace period ends. The candidate enters their email and passcode, allows camera and microphone, and shares their entire screen. The AI interviewer asks your interview template's questions and follows up.

The room warns the candidate when the mouse pointer leaves the on-screen control bar, when they switch to another tab or app, when the window is smaller than 800 × 600, when nobody is in the camera view, or when more than one person is. After three warnings the interview ends. On phones and tablets only the tab or app switch and camera checks apply. (Full-screen checks are used in video interviews with your team and in online tests, not here.)

No-shows

If the candidate never joins, the interview is marked No-show. By default the first no-show gets one new slot booked automatically and a “Missed interview, new time” email; after that the application is flagged and you are notified. You can also Mark no-show by hand, Reissue link, Resend invitation or Move to another slot.

Scores and review

Where:RoundsAI interviews

Each interview is scored on correctness, relevance, completeness, confidence and professionalism, three times with the middle result kept. The interview page shows the score breakdown, a justification for each question quoting the transcript, strengths and improvements, scores across rounds, the searchable transcript and the recording.

Every completed interview is checked for integrity, for example a transcript far longer than could be spoken in the time. Anything unusual is flagged for a person, never rejected automatically. An interview that could not be scored is retried and then flagged; it is never treated as a no-show.

The round 2 decision

In the standard pipeline, a score at or above the round 2 threshold (65 by default) is Suggested for final and waits for a person to Confirm for final round. Near misses go to Needs review (R2). You can Override: suggest or Override: don't with a reason.
