Pipeline steps reference
Every step you can put in a pipeline: what it does, its outcomes and its settings.
Stages
| Step | What it does | Outcomes |
|---|---|---|
| Application received | The start. Every application enters here, however it arrived. One per pipeline. | Next |
| Resume screen | The AI scores the resume against the role. Set a Minimum resume score (default 40) and what to do with no resume. | Score at least the minimum · Below the minimum · No resume attached |
| Phone screening call | The calling agent phones the candidate and scores the conversation. Optional extra instructions for the agent. | Call done and analysed · Unreachable after all passes · Declined the call · Not interested |
| Assessment test | Emails a timed online test with a passcode and waits. Choose the Assessment. | Submitted and graded · Not taken before the link expired |
| AI interview | Books a slot, sends the invitation and waits for the scored interview. Rebook once after a no-show is on by default. | Completed and scored · No-show after rescheduling |
| Human interview | An interview with your team: on HumanEQ's video platform, in person, on another video service, or by phone. Set duration, interviewers, scorecard and how many scorecards complete it. | Scorecards in · No-show |
Every scored stage also has the remark settings. See Remarks and final scores.
Decisions
| Step | What it does | Outcomes |
|---|---|---|
| Score gate | Compares a score (resume, call, combined, assessment, AI interview or panel) with a threshold. Use its own threshold, or the Round 1 or Round 2 settings from Rounds & thresholds. Mode: Automatic (passes move on by themselves) or Suggest only (every result waits for a person, the default). | Passed · Near miss · Below threshold |
| Condition | Branches on scores, call facts, form answers, tags, source, distance and more. The first matching branch wins. | One per branch · Otherwise |
| Manual review | Parks the candidate in Needs attention until a person decides. The Checklist for the reviewer is shown on the application's Pipeline card and in Needs review. Remind after (3 days by default) sends the team one reminder notification if nobody has decided by then. | Approve · Do not proceed |
Actions
| Step | What it does |
|---|---|
| Send email | Sends any email template, including your own, or a message you write on the step, optionally after a delay of up to 720 hours. Then continues. |
| Notify team | Posts a notification to the dashboard with your title and message. Then continues. |
| Wait | Holds the candidate for a number of days (2 by default). |
| Add tag | Adds a tag that later conditions can test. |
| Add to talent pool | Adds the person to the pool with a note and a check-back date (6 months by default). |
| Webhook | Sends the candidate's data to your system and routes on its reply. See Webhooks. |
Messages you write on a Send email step can use {{candidate_name}}, {{first_name}}, {{role}}, {{organization}}, {{reference}}, {{interview_time}}, {{preferred_slots}} and the scores {{call_score}}, {{resume_score}} and {{assessment_score}}.
Ends
| Step | What it does |
|---|---|
| Hire | Marks the candidate hired and opens the onboarding checklist. Options: pause the role when all openings are filled (off by default), and email a welcome note (on). |
| Close | Marks the candidate not selected, with the reason. Sends the encouraging rejection email after your delay (on by default), starts the cooldown, and can keep the person in the talent pool. |
| Hold | Puts the candidate on hold with a reminder to review (30 days by default). |
Watch out
A Close step is the only way the system can mark someone not selected on its own, and only because you drew it. Consider a Manual review before a Close until you trust your thresholds.
