Final round and hiring decisions

Record the outcome of the final round: hired, on hold or not selected, and the emails that go with it.

Record an outcome

On Final round → Scheduled (or the application page), press Mark done, then Hired, On hold or Not selected. Each opens a window with a preview of the email; choose Send email or Don't send. The outcome is recorded either way. Only a person can set these outcomes.

For Hired and On hold, Send email sends the matching outcome email. For Not selected, it sends the encouraging rejection email (the Application closed (encouraging) template), after your rejection delay; Don't send closes the application without it.

With the standard pipeline, a candidate is moved to hired automatically only when most of the panel's scorecards recommend hire.

Hired

The onboarding checklist opens. The candidate gets an email only if you send the outcome email, or if the pipeline's Hire step has Email the candidate a welcome note switched on (on by default for new pipelines; check pipelines made before 30 September 2026). Other open applications from the same person are not closed automatically; review them from their candidate page.

Good to know

Offer letters are tracked as checklist items (Offer letter sent, Offer accepted) rather than generated in HumanEQ.

Not selected

The encouraging rejection email goes after your delay (24 hours by default, set in Settings → Hiring), and the cooldown starts. If you change your mind, Reopen application within the delay also cancels the email.

On hold

The candidate is kept for later, with a reminder to review (30 days by default on a Hold step).
