Team and access
Invite colleagues and interviewers, and decide exactly which sections each of them can see or change.
Access roles
Each member has one access role. For every section of the product it gives no access, View or Manage.
| Built-in role | What it can do |
|---|---|
| Owner | Everything, including the team, access roles and deleting data. Cannot be changed. |
| Admin | Everything: every section, settings and the team. |
| HR manager | Runs hiring: manages roles, applications (with export), candidates, calls, interviews, tests, onboarding, pipelines, slots, rounds, templates, emails, the knowledge base and induction. Views settings, billing and the team without changing them. |
| Reviewer | Sees roles, applications, candidates, calls, interviews, tests and onboarding, and can add notes. Changes nothing. |
| Interviewer | Sees only their own interviews with candidates: join, and fill in the scorecard. |
| Drive admin | Runs hiring end to end inside the drives they are given, and invites people into those drives. No settings, billing or data export. |
Each member also works in All drives or Chosen drives; see Drives and locations.
You can adjust the built-in roles (except Owner) and create up to 50 of your own on the Access roles tab, with a live preview of the sidebar that role would see. Extra switches cover adding notes, exporting, seeing all human interviews, editing access roles and exporting all data.
Invite people
- 1Enter up to 50 people, one per line, as an email or as “Name <email>”.
- 2Choose their Access role (Interviewer by default), an optional job title and personal note, their Drives, and how long the link is valid: 1 day to 1 year, or Never expires (7 days by default; change the default on the Invitations tab).
- 3Send. Each person gets an email, or you can copy their link.
The Invitations tab lets you resend (the old link stops working) or cancel. On Members you can change someone's role, see what they can do and their recent actions, deactivate them (they are signed out at once) or remove them.
Safety rules
- Nobody can give access they do not have themselves.
- Nobody can change a member with more access, or their own access.
- Only an owner can make or change an owner, and there is always at least one owner.
Account security
HumanEQ support can tighten security for your organization on request, for example after a lost laptop or when someone leaves:
- Sign everyone out: every member is signed out of every device and signs in again.
- Set a new password: the member is taken to a page to choose a new password before they carry on.
- Approved networks: the dashboard only works from your office addresses.
- Single sign-on: members sign in with their Google or Microsoft work account (Sign in with single sign-on on the sign-in page). It can replace passwords for your company's email domain.
