Drives and locations

Group roles into hiring drives with their own team, locations and apply link, so each drive's people see only their drive.

What a drive is

A drive is a group of roles with its own team, locations and apply link: a hiring season, a campus recruitment drive, a walk-in week, a new branch or a department. Every organization has a Main drive; roles you had before drives live there.

Usage limits, pipelines, question templates, assessments and email templates are shared by every drive. A drive can also have its own pipelines, templates, assessments, slot groups and knowledge.

One drive is fine

While you have a single drive, nothing changes: there is no drive picker and the apply page lists roles as before.

  • Name, colour and description.
  • Ongoing (open until you close it) or Has dates (a start and end date). A drive with dates can close automatically at the end and remind its team a few days before.
  • Show on the main apply page, or keep it reachable only through its own link.
  • An intro shown above its roles on the apply page, and the pipeline for new roles.

Only members with access to every drive can create drives. The drive's page has tabs for Overview, Roles, Locations, Team, Link & QR and Settings.

Roles in a drive

Every role belongs to one drive. New role asks for the drive when there are several (it starts on the drive you are viewing). A drive has as many roles as you like.

On a role, the ⋯ menu has Move to another drive (the role moves with all its candidates, calls, interviews and history) and Copy into a drive (a new draft with the same details, form, screening and rounds, without candidates). From a drive's Roles tab you can also Move a role here.

People and access

Each member works in All drives or Chosen drives. Someone with chosen drives sees only those drives' roles, applications, candidates, calls, interviews, results, dashboards and notifications. Opening anything else shows a not-found page.

The built-in Drive admin access role runs hiring end to end and can invite interviewers and reviewers into their own drives. They can't change settings, billing, email templates or organization-wide items, and can't export all data.

From a drive's Team tab, Invite opens the invitation with that drive already chosen. Change someone's drives from Team & access → the member → Drives.

The drive picker

With two or more drives, the top bar shows a drive picker. Pick a drive to narrow every page, list, count and dashboard to it; pick All drives to see everything you can reach. The copy-link and QR buttons follow the drive you picked.

Close, reopen, archive, delete

  • Close stops new applications at once. Everyone already in progress carries on to the end: calls, interviews and decisions continue.
  • Reopen makes it take applications again (move the end date first if it has passed).
  • Archive tidies away a closed drive; its data is kept and it can be restored.
  • Delete is possible only for a drive with no roles and no applications. The Main drive can't be archived or deleted.

Locations

Where:OrganizationDrivesa driveLocations

Locations are optional: the branches, schools, clinics, stores or offices where a drive's roles are based. Enter the name, an optional short code, the address, area and city, a contact person and phone, the timezone and notes. The map pin is found from the address, or you can type latitude and longitude.

When you create a role (or on its Settings tab, under Basics), the Locations field lists every location of the role's drive: pick one or more. With two or more, Openings per location lets you split the openings. The apply form then asks for a Preferred location. The calling agent suggests the nearest one; candidates farther than the Nearby radius (25 km by default, under Settings → Hiring) from every location are flagged Far from locations, and pipeline conditions can use the distance to the nearest location.

Close location stops offering it; a location can be deleted only when no role or application uses it. New locations reach the calling agent automatically on the next calls (each call carries the current list).

Usage limits

Usage limits are shared by every drive. Plan & usage shows what the organization has used.
