Roles and the apply link
Create a role, choose its pipeline, open it for applications, and share the link or QR code.

Create a role
Everything under Basics is public on your apply page once the role is open.
| Field | Notes |
|---|---|
| Role title | Required. |
| Department, Location | Shown to candidates. |
| Work type | On-site (default), Hybrid or Remote. |
| Employment | Full-time (default), Part-time, Contract or Internship. |
| Openings | 1 to 999. |
| Description | Shown on the public page, and used by the AI to score resumes and brief the screening call. |
| Requirements | One per line. Shown publicly, and each line is checked against every resume. |
Under Hiring pipeline, choose Organization default or any published pipeline. On a new role, Organization default first takes the drive's Pipeline for new roles, if the drive has one (copied onto the role when it is created); otherwise the role follows whichever pipeline is your organization's default, now and later. A preview shows what candidates will go through.
Press Create and build the form. The role is created as a draft and the form builder opens. If people in your talent pool fit the role, you are first offered Invite from the talent pool.
Open, pause or close a role
Use the Status menu in the role header:
- Open · accept applications. The application form must be published first.
- Pause · hide from public link. Queued calls for the role are cancelled and its campaigns pause. The role still shows on the apply page, greyed out with a Closed badge.
- Close · stop everything, keep data. New applications stop, queued calls are cancelled and campaigns pause. Every application and its data is kept.
A role cannot go back to draft. A role can be deleted only while it has no applications; otherwise close it. A role does not pause by itself when its openings are filled, unless the pipeline's Hire step has Pause the role when all openings are filled switched on (it is off by default).
The role page
The header has Copy apply link, Edit form, Talent pool and Status. The tabs are:
| Tab | What you set there |
|---|---|
| Applications | Everyone who applied to this role. |
| Screening | The phone screening template, the AI interview template, the practical facts to collect on the call, extra call questions, maximum call length and language. See AI screening calls. |
| Rounds | This role's own thresholds, or the organization defaults. |
| Slots | The slot group for AI interviews, and optionally one for the final round. |
| Settings | Basics, locations and openings per location, the pipeline, and closing rules (cooldown and rejection email) for this role. Move or copy the role to another drive from the ⋯ menu. |
Change a role's pipeline
Press Change pipeline, pick a published pipeline and Save pipeline. When candidates are already in progress, you choose:
- Keep them on their current pipeline until they finish (the default), or
- Move the candidates in progress to the new pipeline now. No emails are sent again, and anyone without a matching step is flagged for a person to place.
The apply link and QR codes
Your organization has one public link, /apply/your-slug, listing every open role. Each role also has its own link that opens that role directly (Copy apply link on the role page).
QR code on the Roles list (or QR in the top bar) makes a QR code for all open roles. Add an optional Campaign label, such as “Job fair March”, and applications from that QR are marked with it. Download a PNG (512 or 2048 px), an SVG, or Print A4 poster.
The form builder's Link & QR panel has the role's own link, one QR image (Download large) and an embed snippet for your website. For PNG sizes, SVG, a campaign label or a poster, use the QR code panel above.
Where applications come from
Every application records its source: Public link, QR code, Talent pool, Added by team, Referral, Walk-in or Other, plus the optional label. You can filter dashboards by source and branch on it in a pipeline condition.
