Applications and candidates

Find, filter and act on applications: the detail page, moving candidates by hand, bulk actions, adding walk-ins and exporting.

On this page

The applications list

Applications shows every application across roles. Search by name, email, reference or the last digits of a phone number, and filter by role, stage group, flag or tag. The count always says how many are out of view, so nothing is ever silently hidden.

Stage groups: New, Screening, Round 1, Assessment, Interview, Round 2, Review / waiting, Final round, Hired · onboarding and Closed. Flags point out what needs a look, such as needs attention, duplicate, near miss, no valid phone, remark needed or asked for a human.

The application page

The header shows the candidate's stage, flags, tags, reference, and score rings for Resume, Round 1, Test, Interview and Panel. When a person has added a remark, the final score replaces the AI's.

Phone numbers are masked everywhere. Reveal shows the full number, and every reveal is logged.

The Pipeline card shows where the candidate is, the path so far, the remark box when a remark is needed, and the step history. Below it are the interview, assessment, onboarding and induction cards. The tabs hold the form answers, the resume with its AI analysis, the screening call, the AI interview, the final round, the full Timeline, and private Notes.

Move a candidate by hand

Move to… on the Pipeline card sends the candidate to any step of their pipeline. Give a reason; optionally tick Treat skipped score gates as passed. Before you confirm, a preview lists what the move cancels (a queued call, an open test, a booked slot), what the new step will do, and any warnings.

The timeline records the move with your name and reason, and the application is flagged Moved by admin. Skip this step moves them past the current step.

The Actions menu

  • Confirm shortlist & book interview, Override round 1…, Override round 2…: decide with a required reason. The AI's original result stays on record.
  • Schedule AI interview… (Change AI interview time… once booked): pick an open time or add a new one. See AI interviews.
  • Change stage manually… for the odd case the pipeline cannot cover.
  • Reopen application for anyone closed as not interested, withdrawn, unreachable, not shortlisted, not selected or on hold.
  • Move to another role…: a new linked application with the same answers and resume.
  • Resend interview invitation, Send browser interview link, Re-score resume.
  • Mark do-not-call / Allow calls again.
  • Withdraw application: queued calls are cancelled and any booked slot is released. It can be reopened.
  • Erase personal data…: see Data and privacy.

Bulk actions

Tick applications to open the bulk bar: Tag, Start screening calls (creates a campaign for the selection, one role at a time), Email a template to everyone selected (people marked do-not-email are skipped), Export, and Move to… one step for everyone, with a preview of who will move and who cannot.

Add walk-ins and referrals

Where:ApplicationsAdd candidate
  1. 1Choose the Role and where they Start at: the first step, or any step of the pipeline.
  2. 2Add One person (name, email, phone, tags, note), Paste a list with one person per line (name, email and phone, separated by commas, semicolons or tabs), or Import Excel or CSV: a spreadsheet in any layout, up to 500 people per file. The columns are matched to name, email, phone, resume link and the role's questions, and you check the matching before adding.
  3. 3Pick the Source (Added by the team, Walk-in, Referral, Agency or Other) and an optional label such as “Job fair”.
  4. 4Press Check for a dry run that shows who would be added and who would be skipped, and why. Then Add.

People already applying, marked do-not-contact, or inside a cooldown are skipped unless you allow it. By default each person gets an email saying they were added, with an opt-out link. When the role's application form asks for details you left empty, the email also carries a “complete your application” link, and the pipeline starts for that person once they complete it.

Export

Export CSV downloads the applications matching your current filters, up to 5,000 rows, with reference, name, email, masked phone, role, stage, scores, flags, tags and date. It needs the Export permission.

Candidates as people

Candidates lists people rather than applications, with all their applications, a combined timeline and the emails they received. Each person has Contact preferences that are checked before every call and email: Do not call (queued calls are cancelled and a browser interview is offered instead) and Do not email.
